# Switching invoicing software mid-year in Spain, without a mess

> You can switch any day. A couple of things are worth getting right: the numbering, and the 130, which accumulates from January.

## The best day

The first day of a quarter. VAT (form 303) is worked out quarter by quarter, so if you start on 1 July, the third quarter's 303 comes entirely from the new software. Switching mid-quarter works, but that quarter you'll have to add both together.

## Numbering

Your invoices must follow a consecutive series, with no gaps or repeats. Two good ways to do it:

- Continue the same series: on the first invoice in the new software, type the next number by hand (if the last was 2026-047, then 2026-048) and it carries on from there.
- Start a new series with another prefix (say, “N2026-001”). Several series are allowed; they just can't repeat numbers.

## The 130, which is cumulative

The income tax prepayment (form 130) is worked out with the whole year, from 1 January. Switch in July and the new software only knows July onwards: its Q3 130 will come out short. That year, have your accountant add in the old software's figures for the 130, or add them yourself from its summary. From the next year, it all comes from the new one.

## Checklist

- Export this year's invoices from the old software as PDF and, if it lets you, CSV or Excel. Keep them: four years (six if you keep commercial books).
- Add your clients to the new one, with full tax ID and address.
- Recreate recurring invoices from the next one due.
- Bring in the year's expenses with your bank statement: debits come in as expenses to review.
- If you had Verifactu on in the old software, the new one starts its own chain of records; the old ones stay there with their invoices.

## And on Nyrut

If you already used Nyrut, import your copy and carry on. Coming from other software, there's no import of their files for now: clients take a moment to add (and your first invoice asks for them), numbering follows whatever you type, and the year's expenses come in with your bank statement. The 303 is right from the first full quarter; that year's 130, with the earlier figures added by your accountant.

This is a guide to help you understand it, not tax advice: check your own case with your accountant (gestoría).
